WHEN/IS CO:FF:EE is a specialty coffee events calendar run by Julie Housh, a sole proprietor based in Los Angeles, California. This page explains what the site collects, why, and what you can do about it.

It’s short on purpose. If something here isn’t clear, email hi@whenis.coffee and ask.

What this site collects

If you subscribe to the newsletter, we collect your email address — nothing else. No name, no company, no job title. You confirm your subscription by clicking a link in an email we send you, so nobody can add you without your say-so.

When you submit the sign-up form, your IP address is briefly used to limit how many times the form can be submitted from one place in an hour. It’s stored as a one-way hash, only for that hour, and only to stop the form being abused. It is never linked to your email address or shared.

If you submit an event, the form collects the details of the event — its name, dates, times, location, who’s hosting it, ticketing information, and any links or social handles you give us. Those details are published on the site, which is the point of submitting them. If you submit an event, we ask for your name and email so we can follow-up with any questions, neither is published.

When you simply visit, our host keeps standard server logs.

Cookies. The site sets no cookies at all.

Why

  • The newsletter — because you consented. You can withdraw that at any time, and every email has an unsubscribe link that works immediately.
  • Rate-limiting the form — our legitimate interest in not having the form abused.
  • Event listings — our legitimate interest in running a public events calendar. If you sent us an event, you sent it to be published.

Who else sees it

We use a small number of services to run the site. They only get what they need to do their job.

ServiceWhat it handlesWhere
EmailOctopusNewsletter list and sendingUnited Kingdom, data stored in the EU
AirtableEvent submissions and the calendar databaseUnited States
WordPress.com (Automattic)Website hostingUnited States

We don’t sell your data, we don’t share it for advertising, and we don’t send it anywhere that isn’t in that table. Transfers to the United States rely on the relevant standard contractual clauses and data-transfer frameworks those providers maintain.

If you click through to Buy Me a Coffee, Instagram, or any event organiser’s site, you’re on their site under their privacy policy, not ours.

How long we keep things

Your email address stays on the list until you unsubscribe or ask us to remove it, and is deleted promptly after. Event listings stay up as a record of what happened — if you want an event you submitted taken down, email us and we’ll remove it.

Your rights

Wherever you are, you can email hi@whenis.coffee and ask us to show you what we hold about you, correct it, or delete it. We’ll do it. You don’t need to cite a law.

If you’re in the UK or the EU, you have rights of access, rectification, erasure, restriction, objection and portability under the UK and EU GDPR, and the right to withdraw consent at any time without affecting anything done before. You can also complain to your national data protection authority — in the UK, the Information Commissioner’s Office.

If you’re in California, you can ask what personal information we’ve collected and request its deletion.

Do Not Track

Browsers can send a “Do Not Track” signal. There’s no agreed standard for what a site should do with it, so this one doesn’t respond to it differently. We don’t track you across other websites either way.

Children

This site is aimed at people working in the coffee industry. It isn’t directed at children, and we don’t knowingly collect information from anyone under 16.

Changes

If this notice changes in a way that matters, we’ll update the date at the top. Material changes to how we handle newsletter subscribers will be told to subscribers by email.
